Frequently Asked Questions for Willow Way Clubhouse:

Q: What is the size or the main room to rent?
A: The main room seats 40 comfortably (up to 50 can fit however). It is approximately 450 square feet.

Q: Can I serve food?

A: Yes, you may prepare food or have your event catered.

Q: Is alcohol allowed?

A: Yes, as long as all laws are followed, alcohol is kept indoors, and it cannot be sold.

Q: Will someone be there to supervise?

A: No, but your rental will always be followed with the manager's cleaning checklist.

Q: How far in advance should I schedule my event?

A: We encourage you to book your event as early as possible. Reservations are made no earlier than six months in advance.

Q: How do I secure a date for my event?

A: You can make reservations either by emailing or calling our manager, Pam Harper, between the hours of 9AM - 8PM at 303-808-7434 or by email at wc2clubhouse@gmail.com.  

Q: Who can rent the clubhouse?

A: Only WC2 homeowners in good standing (dues current) can rent the clubhouse.

Q: What is the cost to rent the clubhouse?

A: For homeowner use,                                        $ 60  
For Business and For Profit Use,                         $ 105 
For Community organizations,                             $ 15 (with board approval)
The rental fee is charged in full on the day you book your event.
A separate security deposit of $250 is also required and will be used to cover any damages or excessive clean-up post event.
There is a late-key fee of $30 if the key is not returned immediately after your event.

Q: What is the deposit for renting the clubhouse and how can I get it back?

A: There is $250.00 deposit for renting the clubhouses. The Clubhouse manager inspects the clubhouse after every use. You will lose your deposit/or part of your deposit if the clubhouse is not left in satisfactory condition. If everything is left in a satisfactory condition, the deposit check will be shredded at the end the month. If you would like your deposit check back, please contact the clubhouse manager. (Please see clubhouse contract for more detailed info on deposit regulations).

Q: What if I notice damage to the clubhouse, BEFORE my scheduled event?

A: Please note on the cleanup form any prior damage to the clubhouse and notify the clubhouse manager to prevent being charged damage fees.

Q: Are we responsible for cleanup after the event?

A: Yes, you are responsible to leave the clubhouse the same way you found it. There is a cleaning checklist that is required of you to fill out and turn in to our manager after every use. We provide a vacuum, broom and mop, but you must bring your own garbage bags and cleaning supplies and take home all trash from your event. If you use the gas grill, you must leave it clean. The clubhouse manager will inspect it after every use, and your deposit could be withheld if it is not cleaned according to the cleaning checklist.

Q: Can I put my trash in the dumpster in the parking lot?

A: NO this is for pool use only, there is not enough room to accommodate trash from the clubhouse. Please take your trash home with you.

Q: When can the clubhouse be rented?

A: The clubhouse is available all year round with the exception of Memorial Day, July 4th and Labor Day.

Q: What other amenities does the Willow Way Clubhouse offer?

A: The main room is complete with a couch, love seat, upholstered chair, coffee table, side table, bench w/pad, dining table, side bench. In the small dining area, there is a bistro dining table w/two chairs, and a bench. There are 2 4ft x 6ft tables, 5 card tables, 25 folding chairs, and a restroom. The kitchen includes a full size refrigerator, stovetop, oven, microwave, sink and a counter that opens to the main hallway. A gas grill is available on the deck.

Q: May I decorate the clubhouse?

A: Yes, as long as you use painter’s tape only, no staples, nails, glitter, and no confetti.

Q: How do I rent the Volleyball court?

A: The Volleyball court cannot be rented/reserved. It is on a first come first serve basis.
Homeowners who wish to use the Volleyball court need to bring their own ball.

Q: What can my guests use outside the clubhouse?

There is a basketball hoop in the parking lot, a playground, tennis courts, and disc golf in the greenbelt along the creek. You must bring your own basketball and discs. These areas are also on a first come, first serve basis.

Q: If I rent the clubhouse, does that include the parking lot?

A: Reserving the clubhouse does not entitle you to use the parking lot. It is available on a first come first serve basis.

Q: How do I rent the Willow Way Pool?

A: You must contact our Clubhouse manager, and sign a Pool and Clubhouse Use Release. The Willow Way pool area will close at 9:00 PM. Lifeguards must be present at all times and all pool rules and regulations must be observed by all. One adult must be present for each 10 children present. Reserving the clubhouse does not entitle you to use the pool.

Q: What time of year is the Willow Way Pool available to rent?

A: The pool is available to rent only AFTER the pool is open full time. For more information on dates, times and pricing, see the Private Pool Party Rental page.

Q: What is the cancellation policy?

A: You must cancel your reservation 10 days prior to your rental date. You will lose your rent if you cancel less than 10 days prior to your rental.
